Feature Update: Clone, View, Email and Print Submitted Forms from the Mobile App
Ability to Clone, View, Email and Print Submitted Forms (and the related PDF report) from the Mobile App

This new feature has been added to the Submitted Forms module of Formitize and adds a whole range of options for forms that have been submitted in the past.

The “Clone” feature in particular can be a big time saver. Example benefit applications include:

Safe Work Method Statements - If the same Safe Work Method Statement needs to be completed each day, so much time can be saved by “Cloning” yesterday’s version, carefully reading through, making adjustments and signing.

Inspection Reports where it is expected that most results will match the previous version. A copy can be made and any minor adjustments can be made quickly.

Repetitive Forms such as Time Sheets or Daily Work Orders where most of the data remains the same each week and so making a copy will save time allowing for only the minor adjustments to be made.

 

Mobile App View

To view Submitted Forms in the mobile app, go to FORMS and then selected SUBMITTED from the submenu (as shown in image below). You are able to search forms using the search bar or filter based on Custom Submitted Form Tabs.

The Submitted Form options in more detail:

Change Status: By selecting the Change Status option, you are able to change the status of the Submitted Form. Submitted Forms can have different statuses such as Pending, Approved, Draft, Confirmed etc. In addition, different actions can trigger whenever a Form Status is changed (see your User Guide for more information on Form Actions) creating simple, yet powerful workflows within your business.

Clone: By selecting the “Clone” option, a duplicate of the submitted form is automatically generated. All data is brought across from the original form to the new copy (with the exception of photos and signatures).

Email: By selecting the Email option, the PDF report version of your Form will be available to email. An email prompt will allow you to enter the recipient manually (or select from existing CRM Contacts) and add custom email content. The PDF will be automatically added to your email.

PDF: By selecting the PDF option, you will be able to view the completed PDF report version of your Form.

Print: By selecting the Print option, the PDF report version of your Form will be available to print. The Printer Options page will appear ready for you to select your preferred printer, number of copies and show a preview of what is to be printed.
 


 

Photos and Signatures

Please note that for security reasons, signatures are not cloned and photos are NOT cloned by default.

In most cases it will be important that these elements are not automatically transferred to the new copy. However, there will be instances where it is of benefit and so a deliberate check is required to to include them.

As shown below, you must check the relevant options if you wish to have either Photos or Drawing Images cloned to the new copy. Copy Drawing images is checked by default but can be unchecked before cloning.


 

Management Portal View

The same options are available using the Management Portal, by going to FORMS in the main menu, then selecting Submitted Forms.

You can then either check the checkbox of the form you wish to clone and then use the Form Action options in the bottom right hand corner of the screen or alternatively, click on a form link to view the Submitted Form and then use the Form Actions at the top of the page.
