Job Card Updated with Great New Features
An exciting new version of the Job Card has been released, here’s a quick summary of the changes and new features added.

Quick Summary of New Features:

  • Clear, large indicator buttons at top of the page to highlight: Job Number, Job Type, Job Status and Client Confirmation.

  • Ability to change Job Status to Complete in Job Status button.

  • Ability to allocate a Job not only to a specific Client Location, but also to a Zone within that Location.

  • When Location is selected, Site Name will automatically populate.

  • When a Job Type Template is selected, a green indicator highlight will appear for a few seconds around all fields to display what has been updated automatically. 

  • Ability to assign jobs over multiple days, weeks, months.​

  • Ability to assign Mobile Assets to jobs for scheduling purposes (Asset Register Add-On required).

  • New buttons added to Job Notes section with ability to add job notes, edit existing job notes and view all job notes


 

1. Clear, large job indicator buttons at the top of the Job Card

 

 

The new large indicator buttons at the top of the Job Card help users quickly identify the key elements of the job:

  • The Job Number - automatically created if not manually entered

  • The Job Type - with colour coding to match your Job Type preferences

  • The Job Status - with colour coding to match your Job Status preferences

  • Client Confirmation - indicating whether or not, the client has confirmed the job.

Note, both the Job Status and the Client Confirmation can be changed by clicking on the button dropdown.


2. Ability to change Job Status to Complete in Job Status button and Select Client Confirmation

 

Click on the Job Status button to manually complete the job from the Job Card

Click on the Client Confirmation button to select “Client Confirmed”

3. Ability to allocate a Job not only to a specific Client “Location”, but also to a “Zone” within that Location.

A Billing Client can have unlimited Locations assigned to them. An example is a Real Estate Agency (Billing Client) with many properties managed (Locations). Another example is a corporate client with multiple offices and warehouses around the country. 

Each Location can now have customised “Zones” to more accurately define the location of the job. If you are using the Asset Management Module, the Zones will also be available to assign Asset Location.

If you are using the CRM module, the Locations and Zones will also appear under the Contact Details

Zone examples include: Basement, 3rd Floor Reception, Rooftop South West Corner.

The Site Name given to the Location will now also appear in the Job Card, this is a name used to describe the Location in addition to the physical address. 


4. Job Type Template Indicators

Job Type Templates are a great way to:

  • Save huge amounts of time by auto pre-populating many of the job details

  • Automating job status update communications

  • Automating future job reminders

  • Automating the job invoice details including line items and pricing

  • Automating the Forms and Safety Forms attached to the job.

When you select a Job Type, the job fields that are auto-populated by Job Type Template are highlighted in green (as shown in image below) for just a few seconds to show you what has been automatically adjusted.

 

5. Assigning Multi-Day Jobs



 

You are now able to create jobs that run over multiple days, weeks or months.

You simply enter the Due Date and Time (Start) and the End Date and Time (End). The full duration will be reflected in the scheduler blocking out the assigned time.

The feature is also useful for blocking out annual leave and breaks for your team.


6. Ability to assign Mobile Assets to jobs for scheduling purposes (Asset Register Add-On required)

The Scheduler is a great tool for assigning people to jobs and visually seeing team allocation and availability. 

This feature has now been extended to include the scheduling of your equipment (Mobile Assets) to jobs too so that your assets aren’t double booked and it’s easy to see where all equipment is located and what job it is assigned to.

Please note that you need to have the Asset Management add-on activated in order to use this feature. You then simply set the Asset Category to “Mobile Asset” (as shown below) and it will be available to assign in jobs.

 

7. New buttons added to Job Notes section with ability to add job notes, edit existing job notes and view all job notes

 

 

Job Notes are used extensively by many clients and so the options have been increased to include:  

  • View Latest Note

  • Edit Latest Note

  • View All Job Notes

  • Add New Job Note


8. What other features are in the pipeline for the Job Card?

We are always listening to what our clients are suggesting and are already working on the next update of the Job Card which will include the following features:

1. Be able to add your own custom Job Statuses
The current version has the System based job statuses that are tracking against what is happening with the job. The new feature will enable you to have separate Custom Statuses to suit your business that will work in addition to the current System Statuses.

 

2. Multiple “Visits” linked to a single Job
The current version enables jobs to run over multiple consecutive days, however, there are many clients where a “job” includes multiple visits spread over different days, weeks or even months. The next version will, therefore, allow the job to be set up with multiple visits scheduled. Each visit can have the same or different people and assets assigned to it.

3. Custom Job Fields
Be able to add other Fields to the Job Card that are specific to you and your business. You will also be able to hide fields that are not relevant to you to help simplify the Job Card for you.
